Sales Opportunities are can be generated by FI Works through the use of targeted campaigns. You can also manually add Opportunities for a customer or prospect.
To add an Opportunity for a customer or prospect,
- Search for the customer or prospect and click the appropriate link on the Search Results screen.
- Once the profile is displayed, click on the Add an Opportunity button on the toolbar.
- Fill in fields on the Opportunity Tab.
- Fill in fields on the Sales Tab.
- Optionally add notes about the Opportunity on the Notes Tab.
- Click the Save or Save and view Activity Queue button in the toolbar to save the opportunity.
Opportunity Tab
- Status & Disposition - The current status of the activity. Status is set to Active when the Activity is created. Use the Status field to change the current status of the item.
- Disposition - The Disposition indicates the disposition of the activity when it is closed. Each Type can have different disposition reasons. The Dispositions are shown beneath the Complete status in the Status drop down list.
- Sales Process - Select a sales process you would like to use for the Opportunity.
- Sales Stage - Select the sales stage within the process.
- Subject - The customer or prospect that is the subject of the activity. The subject can be an account with the primary customer name, a customer, or a prospect.
- Type - The Type is used to group activities into categories. You must select a Type in order to save the activity.
- Priority - The priority of the activity. Priority is set when the activity is created or when a user changes the priority of the individual item. Use the priority field to assign the activity a higher or lower priority.
- Assigned To - The person that has been assigned the activity. Type in this box to find another user. As you type, matching user names will appear.
- Referred By - If the opportunity was created from a referral, the name of the person that created the referral is shown.
- Privacy - The Privacy field controls which users can see the activity. For most users, the only selection is Public.
- Reminders - The reminder field allows you to set a reminder for any activity. The reminder date has to be in the future.
Sales Tab
Opportunities have an additional tab to record sales information. This information is used to enter the customer or prospect product interests, potential balances, and potential fees. This data drives Pipeline reports.
- Probability - Use this drop down list to set the probability that this Opportunity will be closed.
- Expected Close Date - Use the data picker to set the estimated date that the Opportunity will be closed.
- Winning Competitor - Use this drop down list to select the winning competitor. This field should only be used if the Opportunity was lost to a competitor.
- Next Step Comment - Use this edit field to add a short comment on next steps for this Opportunity.
- Sales Line Items - This table contains one or more items that describe the products that are included in the Opportunity.
Adding Sales Line Items
- Click the “Add an Item” command to add a new line item to the Opportunity.
- Use the category drop down list to select the product category.
- Use the product drop down to select a product within the category.
- Enter the potential balance for the item.
- Enter the potential fees for the item.
Deleting Sales Line Items
- Click the Delete link besides the sales line item that you want to delete.
- Click OK to confirm the deletion
Moving Sales Line Items
As Opportunities develop, it may be necessary to move the line item to another user or department. You may also want to move the line item to a new Opportunity if the parts of the sale will be closed at different times. Once the Opportunity has been saved, a new link appears by each line item.
- Click the “Move to a new opportunity” command to move this new line item to a new Opportunity.
- The system will display a message asking if the Opportunity should be saved before continuing. You should click “Cancel” and save the Opportunity if you made any changes or if this is a new Opportunity.
- Click OK to create the new Opportunity with the selected line item.
- Use the Opportunity tab to set the appropriate tracking information.
- Reassign the new Opportunity to another user if desired.
- Save the new Opportunity.
Notes Tab
Use this tab to view or add notes to the Opportunity. These notes will be visible to anyone who can see the item. For more information, see Using the Notes Tab.
History Tab
You may view the history of the item in this tab to determine what changes have occurred since the item was created. For more information see Using the History Tab.
